Gary David Hall joins Realvolve as CCO

Here it is! The official announcement. I will be transitioning to Realvolve over the next few months. My affiliates have graciously agreed to allow me to continue to sell their products until then. I’m not entirely sure what I’m going to do with this in the end, but I can tell you that after 16 years it’s one of the most difficult things I’ve ever done.  One of my affiliates said “You’re going to leave a vacuum. There’s nothing else like your site on the internet.” I would never be able to give this up unless there were truly compelling reasons. It has been suggested to me many times over the years that because I know so much about Real Estate CRMs, that I should build one. I’ve even had investor offers. But it was just more of a project than I wanted to commit to. Then came Realvolve. When I first saw it I thought wow, this is different than anything I’ve ever seen. And that’s saying something :)  But it was absolutely no surprise because Mark Stepp is at the helm for the development. Joining Realvolve will enable me to put everything I’ve learned over the years to it’s highest and best use. Obviously I believe this to be an exceptional product, but even more exciting, we’re just getting started!

Thank you all for your patronage over the years. I’ll still be here for a while so if you need any help, by all means, give me a call.

OK – I know I’m the CRM guy and this one isn’t a CRM but it’s darn sure relevant to it and it’s something I think will become quite popular. When Heather Wahl, the developer and owner of AOSDates approached me and she showed me what she had I immediately jumped on board.

As a real estate agent, when it comes to the time between contract and closing, you are the conductor. You have all the players and you need to make sure everyone is on the same page. How much time do you spend checking the details of each transaction and then either calling or emailing the responsible parties to make sure they are doing what they should be doing, when they should be doing it?

Sending those reminders is what AOSDates does for you, automatically and very inexpensively – only $4.99/mo.! One of the best values I have ever seen, especially given how much time it saves you.

One thing I’ve learned over the years is that real estate agents love simple and easy to use. This product epitomizes those qualities. Another things is that agents can be quite discriminating about the look of a program. I was really impressed by how crisp and clean this was as well.

So what does it do?

You get a contract, you transcribe the number of days after the contract or before closing that you want to send the reminders out, and you’re done. You can make it as simple or as comprehensive as you like. Now not only do you not have to spend all that time finding out what reminders to provide to whom, but you can’t FORGET! The system does it for you.

As much as I try to show people the many advantages of using your CRM for transaction management, many don’t want to do it. It takes time to get them set up and most agents don’t understand the value. So – in comes AOSdates. It is essentially a tool that is very easy to set up and use, that reminds you, your clients and any other parties int he transaction when a task is due, as well as generating reports and schedules for said tasks.

If you have spent much time on this site, you know that I generally only have CRMs for sale and just a hand-picked few other products which are here under “Follow-up”. OK I made up the acronym but it wasn’t too difficult. LES – Lead Enhancement System. How often does a lead come in with the only information being an email address? Or maybe you get a name too. But those bare minimum amount of information leads can be a pain. Not too long ago WiseAgent added the ability to find any social media related data to automatically add to their contact record. Now they’ve set it up to happen automatically when a new lead comes in. Very nice! I’ll let them explain it:

Real Estate CRM Reviews on YouTube

It’s very overdue, but I’m finally getting around to doing CRM reviews on YouTube. I currently have a three part review of Top Producer, and in the next week or so I’ll be reviewing IXACTContact, WiseAgent, Realvolve, Contactually, and Referral Maker.

This particular series of reviews is going to follow along the lines of what I have done on my reviews on my site. To do a thorough review of a CRM and include all of it’s features would make the videos too long. So I’m going to focus on each CRMs Unique or Notable Features. Unique is just that. No one else has that feature. Notable is something that this particular CRM does that is either better than the others, or it just has a different twist to it, making it Notable. New Affiliate! Referral Maker CRM

I am proud to announce that I am the first reseller for Referral Maker CRM from Buffini & Company. They have been using and marketing it primarily to their existing coaching clients for a couple years but now they are ready to let everyone take advantage of their unique CRM.
You can tell from the start that Referral Maker is different. They don’t call them contacts. They call them relationships. Referral Maker is all about knowing your contacts inside and out and working them to increase referrals. Or you can just hope for new business all the time, something Buffini refers to as Transactional. Which one is more desirable? It goes well beyond categorizing people as buyers, sellers, prospects, suspects, past clients, etc. You rate their propensity to refer you. You can record their hobbies, favorite restaurants, sports teams and many other data points that enable you to do much more personalized marketing than just sending out another email drip campaign.
So this CRM is geared towards capitalizing on your existing relationships vs focusing on Internet leads. So if you are very much into the latter, this one may not be for you. It is also not, currently, for someone who wants to use their CRM for transaction management in great detail. I often have agents tell me that they really just want their CRM to track their people and keep them following up in an organized way. That’s this one to a “T”.
There used to be a few software applications whose only objective was to help you set goals and track them. Referral Maker ties that kind of thinking into a CRM to actually track and prompt those goals you have set. If you need a CRM and you like goal setting, Referral Maker is unique in its approach and should definitely be on your short list, at the top.
Around June 2015 I contacted the Buffini organization to inquire about affiliating with them to re-sell Referral Maker. It was a pleasant surprise when I eventually ended up talking to Brian Wildermuth who is now their VP of Business Development. I know Brian from 2008 when he owned Sharper Agent and we were affiliated for resales. Brian suggested I join them in Philly for the Success Tour last week and I’m very glad he did.
I started in real estate in 1987. There was no internet that provided a plethora of free training information like there is now, so I spent a small fortune on seminars, books, tapes and more. I read so many books and listened to hundreds of hours of Tommy Hopkins, Denis Waitley, Steve Stewart, Zig Ziglar and so many more. I even did the Firewalk with Tony Robbins. That was something I’ll never forget!
But yesterday I witnessed first hand why I have heard so many positive comments over the years for Buffini and Company. Wow what an impressive production and just a great overall experience. I now have a much better perspective with which to view their Referral Maker CRM.
Buffini made some great points in the context of Internet Leads versus nurturing your database for referrals. If you’re like me, if you haven’t experienced it yourself you’ve heard many disparaging words about internet leads. Namely, that they are either bad leads, or that there are too many, with few that result in a closing. Buffini’s teaching is that it is far less time consuming and much less expensive to work your database than it is to always go after new business using lead generation solutions and social media. And that is the thought behind the CRM. It’s about nurturing your database and that’s how it is set up.
But what makes it unique is that with all the other CRMs, you are pretty much on your own unless you want to pay someone like me to coach you how to best take advantage of your CRM. With Referral Maker, you can buy just the CRM, or you can buy into a whole philosophy and be coached all along the way to make the best use of it. If you have been trying to use a CRM but keep failing, this may be an alternative worth considering.

Top Producer adds export options

OK not earth shattering news but for those of you using Top Producer and not noticing it, here are a couple changes made recently. Apparently ther users have been asking for some additional export options so they added them.

Another sensible change. The Follow-Up Coach has been changed such that “Everyone Else” no longer includes Inactive Contacts.

And lastly, they’ve added Inactive to the Pipeline Report.

Top Producer adds export features and eliminates Inactive Contacts from Follow Coach "Other" group, and added the their count to the pipeline report.

This isn’t an acorn-to-oak-tree CRM tool with an array of features or bolt-on integrations. If you need to connect and manage a large number of agents in a single office, other choices are out there.

I suppose you can call this a Customer Relationship Management (CRM) product. I don’t want to, though, because it’s just too practical. Agentdesks can help you be a more productive agent without having to commit to an enterprise system.

Agentdesks starts with your existing phone contact list as well as those you may have in your Gmail account. The software’s interface is as simple as Contacts, Clients and Properties. While it may take a minute to sort through your Contacts to turn them into Clients — then Buyers, Sellers, Investors, Renters or Rental Owners — you’ll find that process can be done as you interact with them on respective deals. Agentdesks developers included Renters and Rental Owners to appeal to global license practices, where one license essentially covers all real estate verticals.

As you interact with clients, Agentdesks encourages you to set reminders, attach them to their listings or buying requirements and also add notes. There’s nothing super advanced here other than its simplicity.
   
Agents are on their phones constantly, and Agentdesks puts everybody you need to get through your day within thumb’s reach. 
There are also some slick features. New listings that match a buyer’s requirement will automatically attach to that buyer. You can also have a nice view of your listings, from which you can choose to Shortlist or Reject its appeal to your clients.

The Recommend button asks which contacts you think are best suited for a particular listing. Agentdesks’ embedded email client is a very nice touch. You won’t have tap out of the software to send a listing or message to a prospect. All emails, texts and overall activity with a contact or client is recorded under their respective History tab.

There’s also a Reminders tab under each person in your database.
The app is still in its infancy, but it’s ready to use. There are plans for advanced functionality and further categorization of contacts to include vendors, like lenders and handymen.

I hope Agentdesks remains true to the efficiency model that I’ve been horsing around with on my phone. The learning curve is nil. Essentially, Agentdesks has curated a number of disparate actions available on every mobile device, and plugged in your listings to add value. It’s a much more efficient, common-sense approach to mobile real estate business.
