It doesn’t matter how much data you’re collecting; it matters what that you collect the right type of data and view it in the right way. When it comes to optimizing your fleet operations, that’s particularly relevant. Simply measuring maintenance costs as a whole, or even breaking it down by type of repair, doesn’t actually give you a granular look at your operations that will help you make cost-reductive decisions.

So I’m wondering what fleet managers are actually looking at. What are your biggest pain-points when it comes to your budget, and what kind of information would you gather (in a perfect world) to start really reducing those costs?

With the Sequester cuts taking up much press attention in the US at the moment, a lot of in-depth coverage has revealed how indiscriminate cuts to government budgets are affecting some of the infrastructure that undergirds business operations across the country.

Case in point: the USDA overseas a host of business operations in food service, food processing and many other sectors. I recently wrote a post for the +ManagerPlus blog on how companies are implementing new technology to handle compliance with USDA regulations, and it’s clear to me that these agencies are a legally mandated bottleneck for many businesses just to open their doors.

If those huge cuts go into effect, how will businesses who are forced to get approval or inspections from government agencies going to be able to do business? Will we see lawsuits against the federal government if inspections or approvals are delayed, possibly indefinitely, while Congress argues over tax increases and budget reform?

Lately it’s been clear to me that businesses need more leverage over their data to get a handle on their operations. When somebody implements a software solution, they’re really aiming at cost-savings over time, and that savings has to materialize through changed decisions.

The question I’ve been considering lately is what kinds of decisions will businesses make that will give them the biggest return. It’s certain to be specific to an industry or even a certain company’s operations, but there have to be some common metrics that you can start with to reduce costs from the get-go.

Here are a couple of data points I think are worth starting on when you start collecting data on your preventive and corrective maintenance operations:

• Costs of Downtime
• Repair Costs and Frequency
• Corrective vs. Preventive Maintenance Costs
• Equipment Lifecycle Cost

Once you have a baseline in each one of these areas, you can make changes to maintenance lifecycles to hopefully reduce your corrective repairs, minimize downtime and stretch out the lifecycle of each and every asset. Even small gains in these areas can have a big effect on your total budget.

Last week, one of my articles about company liability and maintenance was posted on the ManagerPlus blog (linked above). The post highlighted some high-profile accidents that have been in the news lately, all of them preventable with competent maintenance. I’ve had a few conversations with people about the subject of liability since the post went live, and how risk management for companies really should include a long view.

I think it’s intuitive that maintaining your equipment, vehicles and facilities will likely reduce the chance of accidents happening. But I think one thing I didn’t cover in the post was how planning maintenance to target risk-prone or heavy-use assets is a priority. Let’s face it, many maintenance crews are stretched thin, so it’s important to cover the most important tasks first.

What parts of your operation do you think pose the greatest liability if not properly maintained? Have you had to learn from sad experience the costs of faulty maintenance?
