Did you know that most companies ignore the need for Document Management?

Sadly, in this day and age, most companies do a better job managing their office supplies than managing their important business-related documents. These documents, which are the beating heart of the business, are often totally taken for granted. Document Management services have been largely gone ignored. Thankful this is now changing.

Document Management systems are a way to add a computing platform for documentation. Implementing Document Management into one's business would allow an institution to function in a structured and organized manor. There would be no more lost files, adequate disaster recovery in case of say, a disaster, improved security and most importantly, a competitive edge. The target audiences could be fed information electronically, leaving a business ahead of their competitors.

Unfortunately, very few businesses actually realize the daily expenses they incur due to the time wasted in trying to locate documents that are improperly cataloged. Nearly 10% of a worker's day is spent trying to locate those documents; time that would be better spent, say, actually working. Businesses also believe that often it's better and easier to recreate something other than spend the time and effort to locate it. This leads to repetition and a redundant effort in the work force, greatly demeaning someone's prior work.

The largest thing we have seen has documents at meetings needing to be printed out again and again. This kind of labor is destructive to the environment and causes overhead in time and money. If all documents are submitted electronically to a document management system, the documents subsequently can be easily pulled up at all meetings.

Companies need to realize the risk that is involved in not properly managing their documents. Often enough critical documents (without backups) are stored on personal laptop computers. This increases the risk of those important business-critical documents to being stolen, lost or damaged. The security of those documents is usually an afterthought to some companies; this would expose critical information to incorrect people. There would also be no record of who exactly edited a document, leaving it virtually impossible to discover mistakes or any inefficiencies.

Document Management Systems would allow a company to function in an organized manor. By having everything indexed and cataloged, the process of located a document that once took 10% of a worker's day could be achieved by not even leaving the desk. Files would never be lost again and even cash flow would be improved.

Importance of Customer Relationship Management Software (CRM)

It is extremely important for a business to maintain and create relationships with customers. Without customers it's simple really, a business would fail. Customer Relationship Management (CRM) creates a strong personal bond among people. By developing this type of bond with people, the business is driven to new heights of success. The business can easily identify the specific needs of the customer, which in turn helps serve them in a better and efficient way.

There are many reasons why a CRM system is important to the success of the organization.
- A CRM system helps manage and analyze the acquired or to be acquired customers. This would help in reducing searching for those customers, which is time consuming. By managing this in one place, the customer's needs are seen more efficiently and business is increased.
- CRM is a record of every little detail of a customer. Because of this, tracking a customer is very easy and will help the business determine which customers will generate a profit for the business and which customers won't. With clever strategy, you can then drive the nonprofitable customers to your competitors.
- A CRM system groups customers according to the type of business they do or where their physical location is. This would in turn help focus and concentrate on each customer individually. Time would be spent on the most effective targets.
- A CRM system deals not only with existing customers but is a useful tool in obtaining new customers by using the “opportunity of business” strategy. The strategic method of following up with those customers and converting them into a sale is easily done by successfully integrating a CRM.
- Businesses often prioritizes that which often is most cost effective. A CRM increases the cost effectiveness of an organization's sales strategy. There is no longer a need for paperwork and manual labor. This means less staff and man hours to manage resources. The technology involved in implementing a CRM system are extremely affordable in comparison to the tradition way of business.
- CRM is a database that is available at anytime. Thanks to cloud solutions now available, its also available anywhere. All one would have to do is type in a name and the information about customers or leads would be readily available. This increases productivity.
- When the customer is satisfied (because you used the CRM system) they will maintain a loyalty to you and will continue to give you business. This would result in increase in your customer base and a net growth in the business.

CRM is important to the success for a business. A customer has the desire to be understood. This is made possible by having a CRM system, which tracks a customer's preferences, personality, and other details about themselves. The customer likes to think of themselves as having value, which is exactly what CRM gives. CRM has the ability to take an organization from being a sideshow to being the main event in terms of business.

Another important feature of a CRM is forecasting. By tracking the above data and making an accurate sales funnel, your organization can predict how your sales be by the end of the month, quarter or year.
