What is Data Transformation?

Data transformation is the process of converting data from one format (e.g. XML, CSV, TSV or Excel) to another. Typically Data Transformation could be also be referred to as ‘Data Migration’, ‘Data Mapping’, ‘Data Conversion’ or ‘Data Integration’.

With data often residing in various locations, systems and formats throughout businesses (i.e. supplier data, stock data, sales and accounting data), retailer often required it to be centralised to streamline inventory management pushing to webstores and/or marketplaces and process sales orders for invoicing and dispatch.

The primary stage of data transformation is data mapping. Data mapping determines the relationship between the data elements of two applications and establishes instructions for how the data from the original data source is to be converted for the desired output. In other words, data mapping produces the critical metadata that is needed before the actual data conversion takes place.

Depending on the nature of data transformation requirements by the retailer, data may need to be merged, aggregated, enriched, summarized or filtered to provide the perfect source of data.

Retailer typically benefit from greater access to their data, less manual processing from one format to another, quicker turnaround of operational processes (i.e. Sales to Invoicing) and better integration with interlinked systems.

Product Data may not be ‘Sexy’ but it can make You Money

Dealing with data is viewed by many businesses as just a mundane administrative chore that holds some business value and is usually farmed off to admin.

Successful business understand that product and sales data is the cornerstone of their online trading strategy, and incorporate it as part of their sales process instead of strictly data administration.

Why is the data viewed as an important part of the sales processes and not just the administrative process. The real answer stems from the following points

1. The more quality information on the product, the more information the end customer has immediately at their disposal to make an informed decision quickly, without the need to research or compare.

2. Appropriate Key Words, Terms and Additional Meta-Data data can be used to provide enhanced Search Capabilities for products and SEO (Search Engine Optimisation)

3. Company branding allow brand image to be conveyed to buyers through the use of custom templates (Product Ads).

4. Classification, if the product is incorrectly classified or not classified correctly then products will have poor visibility and cannot be found.

5. Important Business details or Additional Information can be embedded in the product data (i.e. contact information, shipping policies, additional services offered, personalisation, etc)

6. Algorithm’s judge Selling Profile, Product Ad Clicks throughs, Shipping Rate, Title Composition, Sales Data. If past sales are poor than ranking could be low.

The key is that if data is only ever viewed as basic administrative task with the of minimal of work required (i.e. basic data imputing) and not viewed with the potential sales enhancement opportunities that it holds, overall sales may suffer with a high level of stale listings.

Moving Bulk Amazon Listings to eBay

When considering moving Amazon Listing data in Bulk to eBay a ‘Major Barrier’ that is faced when using an export of Amazon listing from the Sellers account, is that of ‘Insufficient Data’.

Amazon exports do not include data for fields (Hosted Image (Pic URL) and Browse Node/Category) which are ‘Mandatory’ data field that are required for moving data to eBay

To remedy this situation the Seller has 3 main choices

1. Scrape the Amazon Catalog for the required product data
2. Use the original raw product data that has used to create Amazon listings (i.e. Supplier Catalogue)
3. Use their Amazon Flat File that previously created Listings

Once the Amazon data is in a structured format (CSV, EXCEL, TAB, TSV, etc) it can then be converted for use with eBay.

The ABC’s of Enabling Product Data for Online Retail

General Product Data that Retailers obtain from Wholesalers, Drop Shippers and Direct Manufactures for use in Online Retailing, in most cases is not directly transferable for immediate use.

Depending on the levels product information, total volume of products listed, file structure and format, this will have a direct bearing on how quickly the product data can be transformed into listings that will help generate online sales.

When moving data the most important rule to consider is that the data meets the ‘Mandatory’ data requirements of the Marketplace (eBay, Amazon,, Sears, etc), Webstore or Multi-Channel System.

What are the most basic mandatory data requirements for online retailing

- ID (SKU)
- Product Title
- Product Description
- Brand
- Price
- Quantity
- Category
- Hosted Image Link (ftp|www | http)
- Shipping

Once ‘Mandatory’ data requirements have been achieved, then data enrichment can fill in the ‘Optional/Mandatory’ data that the business requires and files can be re-formatted for use with the specify Marketplace, Webstore or Multi-Channel System.

If data does not meet the minimal data requirements the business faces an uphill battle to make their data usable for any form of online retailing.
