Shakti Milan Samaj is Hiring – Finance and Administration officer –Kathmandu Based positions

Shakti Milan Samaj is a non –governmental organization. This organization is governed, formed, lead and define by Women living with HIV|AIDS. Since from 2003, SMS has been working on the issues of HIV|AIDS, women rights and violence against women, food and nutrition’s security and socio –economic development. SMS is hiring finance and admin officer Sr. Finance Cum Admin officer is Responsible for the monitoring and reporting of all revenues and costs for the operation of activities under this project.
Financial duties and responsibilities
• Assists management in day-to-day operations by providing financial and administrative support.
• Performs Accounts Payable and invoice processing, and Accounts Receivable.
• Compiles and sorts documents, such as invoices and checks while keeping financial records.
• Keep the all financial transaction accurately with all fact and real supporting document and maintain all transaction records in software. Make sure not to delete from software, keep it in safe site for back up.
• Make reconcile time to time with bank and other parties shown in payable and receivable head.
• Assists management in financial procedures and reporting.
• Be attentive and careful in issuing advances and clearing advances..
• Assists with the preparation of information requested or required for compliance.
• Maintain computerized filing and data system.
• Assist staff with cash advances requests and transportation, as required.
• Assist staff with monthly timesheet and staff transportation claim forms.
• Handle logistical arrangements for workshops and other meetings.
• Maintain and keep the proper record filing of clearing taxes to government on time.
• Prepare and assist in making final audit report on time as specified by the government rules.
• Provide financial report to concerned parties, board member and project coordinator as they demanded.
• Make ensure not to cross the budget expenses and overhead, keep expenses record as per the budget line.
• Prepare Budget sheet as per need of Proposal based activities if there is demand.

Reporting

• Make financial report as per donor report schedule.
• Report financial report as per donor requirement on a specified time as specified on agreement.
• Get informed financial report and condition to project donor, board members and other concerned parties if they ask about it.

Administrative job duties and responsibilities

• Plan and coordinate administrative procedures and systems and devise ways to streamline processes
• Make announcement vacancy if there is need, recruit, select and make panel for final selection.
• Assess staff performance and provide coaching and guidance to ensure maximum efficiency, regular examination on employee attendance.
• Ensure the smooth and adequate flow of information within the organization to facilitate other project activities.
• Manage schedules and deadlines for staff meeting.
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
• Monitor costs and expenses to assist in budget preparation
• Oversee facilities services, maintenance activities at office.
• Organize and supervise other office activities if needed.
• Ensure operations adhere to policies and regulations of organization.

Qualification requirements include the following:
Education Degree in Bachelor and Master degree in Business management, Business administrations Accountancy , Finance and management .
Significant 2 years experiences working in NGO, development sectors and INGO
Previous HIV/AIDS, Women and Children experience highly desirable
Strong interpersonal, oral communication skills in English and Nepali required.

Nuwakot Chapter : SMS intervention program : Informing the people of Nuwakot Districts about the Sexual and reproductive health education including Rights of SRH to Protection of SRH :
Shakti Milan Samaj Conducted an Orientation entitled” Sexual Reproductive Health Education” on 30th May, at Trishuli Plus ,Nuwakot. The Program was supported by MISEREOR ,Germany. 17 women participated in the Program. The participants were sensitized about the Reproductive rights of women, Sexuality, Safe Motherhood, Family Planning, Abortion Uterine Prolapse, Sexually transmitted diseases and HIV/AIDS.
Shakti Milan Samaj would like to thank Trishuli Plus, Nuwakot and the whole team for their effort and coordination to make the orientation a grand success The Program would not have been successful without the untiring efforts of the whole team of SMS ( MISEREOR Team , CHBC Team Leader and others )

Hurry – Hurry – Hurry
We are ready to go ahead with different skills –general, social and information . Hope this skills will be assets for those children to adopt grow, thrive, problems solving and enhancing our youth’s moments with positive vibes.
Keeping this facts, SMS conducted Two days life skills training for children, 34 participants from different organization was enrolled in Training.
