Your AP Invoice Process Health Check: Five Questions to Ask

If you’ve identified your #AccountsPayable processes as the right target for process improvement through automation, you’re in good company! The good news is that proven technologies and best practices are well established for companies of all sizes, in any industry.

The following list of questions/issues to consider early in the process will likely come up again and again as you explore the right options and best solution for your firm:

1. How are your AP Operations Structured (Centralized or Distributed)?
2. How long does it take to process an invoice?
3. How Many Invoices Are Processed Per Full Time Employee (FTE)?
4. What percentage of invoices are paper? What other channels do you rely on for invoice Receipt?
5. How Many #Invoices are PO-based?

For details about how to best answer each question and further optimize your results, read our latest Blog http://bit.ly/2OD9ijv.

AP Process Evolution: An Ongoing Journey

With #AP automation in place, successful companies often continue to evolve their processes as they adapt to new systems and processes. Often, their post-automation evolution goes through four phases, including:

• Building and formalizing internal competence.
• Living by the new rules and processes.
• Straight Through Processes (end-to-end automation)
• Fine Tuning and Ongoing Optimization.

For most companies, this path is more evolutionary than revolutionary. Efficiency gains and return on investment accelerate as team members adapt to new technologies, systems and practices, while technology and automated systems are modified to address common use cases, followed by a broader range of exceptions.

Machine Learning and the 80/20 Rule

A recent article in Wired Magazine argues that #AI and Machine Learning are more likely to make your work more meaningful than to steal your job (for now, anyway) http://bit.ly/2MrMWQi.

According to author Eden Shochat, while #ArtificialIntelligence and Machine Learning has made huge strides in tackling routine, automated tasks, a huge gap remains in the ability of these systems to become truly self-learning. That means they will continue to rely more on process experts (and less on IT) to automate and eliminate dull, repetitive tasks that get in the way of employees’ ability to add more value and do more meaningful work.

According to Shochat, while today’s artificially intelligent platforms and applications can handle 80% of routine tasks like document filing, data extraction, workflow routing and reporting, they lack the ability to self-teach and to handle more complex decision-making. The 20% that remains in the hands of humans, therefore, still delivers 80% of the value.

In the case of typical automation initiatives like #AccountsPayable automation, existing #AP staff members, along with finance leadership, need to be involved in defining processes for these “robots” to execute. Once these systems are in place, they typically do an amazing job of automating the routine — while flagging exceptions to be reviewed and handled by their human coworkers.

AP Process Transformation and BPM: Faster, Smarter, More Scalable Starts Here

Visibility and control over cash flow, better customer service and instant access to up-to-date information are often key benefits to #AP automation initiatives — but it’s often the narrower cost benefits in terms of staff overhead and cycle times that are used to sell executives on AP automation.

AP automation that relies on intelligent capture solutions like InvoiceAction from Artsyl Technologies has a proven track record of delivering #ROI within 6-12 months, but it is the broader, longer-term potential to create a model for #BusinessProcessManagement ( #BPM ) that can be applied enterprise-wide that really gets executives excited.

AP Automation and Shared Services: Keep it Simple!

According to a recent survey from the Institute of Financial Operations (IFO), #AccountsPayable processes have grown in complexity year over year, and most companies expect this trend to continue.

Increased complexity for #AP invoices potentially means increased costs for shared services organizations, which either translates into lower profits or reduced price competitiveness.

To continue to increase efficiency, shared services organizations need to understand the productivity of staff, and the effectiveness all the steps in the AP invoice process, including data capture, classification, extraction, validation and the average time it takes to process an invoice.

AP Process automation optimizes the efficiency for each step in the procure-to-pay (#P2P) process and provides real time reporting and analysis of process cycle times, providing the ability to continually improve the process and eliminate bottlenecks.

To learn about how today’s flexible, no code solutions for AP automation allow Shared Service Organizations to radically streamline processes for a broad range of clients across multiple industries, read our latest blog http://bit.ly/2Cq8zAF.

Big Data and BPM: Transforming data into action

Until 2003, humankind generated a TOTAL of five exabytes of data — equal to one billion gigabytes. That is the equivalent of ALL the words EVER spoken by any human being (stored as a txt file).

Today, we produce five exabytes of data every TWO days.

Where is all of this data coming from?

The majority of it is it is unstructured content — audio and video files, Word documents, PDFs, presentations and images that cannot be efficiently managed using structured data systems like #EnterpriseResourceManagement systems.

Here are just a few examples:
• Facebook Messenger users share 216,302 photos.
• Twitter users send 9,678 emoji-filled tweets.
• Instagram users like 2,430,555 posts.
• YouTube users share 400 hours of new video content.
• Snapchat users watch 6,944,444 videos.
• 3,567,850 text messages are sent in the U.S.
• Siri answers 99,206 requests.

For most companies, including middle market organizations today, one of the first challenges to arriving at the promised land of big data is extracting information from unstructured content — without human intervention.

That’s where intelligent extraction solutions, designed to identify actionable data from unstructured content like invoices, sales orders, bills of lading and just about anything else you can think of, come into play.

Success Story: Precoat Metals & docAlpha

Read our latest case study to learn how Precoat Metals leveraged the docAlpha Transformation Platform from Artsyl Technologies as a key component in their strategy to streamline and automate their #AP processes to keep pace with business growth http://bit.ly/2BoPIpl.

Once Precoat Metals implemented docAlpha, integrated with its WebDocs document management system and AS/400 ERP system, the company was able to eliminate manual document handling and data entry. WebDocs #automates the routing of #invoices for review by the appropriate approvers, providing them with easy access to documents and to G/L coding information. By eliminating process bottlenecks up front in the process, docAlpha allows data and documents to flow seamlessly from receipt to coding and approval, to payment.
