Communications Essentials –,Managing Service Provider risk under the new Privacy Laws

Given the subject of recent discussions, I thought that schools may be interested in the following briefing:

How does the new Groups feature work?

- Cloudwork pulls identity and relationship data out of school based data stores and then populates cloud based services with the rich data

- School data can be extracted from any LDAP directory (including AD), many mpopular school management systems or from a designated csv file located at the school's location

- Communication between the school and Studentnet are encrypted and always from the same IP addresses minimising any firewall setup issues or exposures

- Communication can be via LDAP, LISS, SIF, Ed-Fi, XMLRPC or any file transfer protocol

- Group relationships (class lists, year groups, sporting teams etc) can be maintained as Google Groups and as roster spreadsheets suitable for use in education scripts such as Doctopus and gClassFolders

- Shared contacts between separate domains (eg staff and students) are automatically maintained enabling fast and convenient auto-complete of destination fields

- Group members can now directly share documents with each other using the convenience of groups with friendly group names

New Branding: Cloudwork™

Studentnet introduced our Nextmail product back in 2007. At that time cloud based email services for schools was still a novel concept. The name that we chose for our product reflected both the novelty of what we were doing and the email basis of the service.

But times have changed.

Our service has transformed from being primarily an email service to now being an Identity Management service. Having removed the need for accounts to exist in GMail and having implemented features such as our Any Directory Integration and Automated Class Groups, our service has now enabled rich new collaboration functionality for teachers and students - our product name does not reflect that richness.

So now we are announcing a new name for our services: Cloudwork™. Accompanied by a new product logo.

Along with the release of our new name we'd like to also announce even more functionality that we are adding to our service . We have commenced the development of features to extend Automated Class Groups so as to now provide integrated support for Google Apps spreadsheet scripts such as the very popular Doctopus and gClassFolders - see below    


Cloudwork™ introduces integrated support for Doctopus, gClassFolders and other Google Apps spreadsheet scripts
We are looking at enhancing our Cloudwork™ product so that it will automatically create and maintain the roster spreadsheets used by many popular Google Apps scripts.  We're looking for feedback/criticisms/suggestions for improvements/etc on what we are implementing.

So far we have:
Roster spreadsheet integration will be a regularly run process that does the following: 
Create a master roster spreadsheet for each class list from data held in the schools management system
Share this spreadsheet with the teachers of that class. Teachers will get read-only access to each master roster spreadsheet. They will be able to copy the master to fully accessible working copies as needed and use the copies normally as they would if they had created the script manually. 
To provide functionality to teachers when we do not have teacher information for class groups, user accounts in Cloudwork will need to be configured as either student or teacher. This can be done through the Cloudwork administration interface, or via the existing directory integration feature. 
For each student in a class, add a row consisting of "First Name, Last Name, Email Address" to that class's master roster spreadsheet. This format will be configurable to suit the needs of a range of popular apps scripts. 
All spreadsheets will go into a folder called "Master Roster Spreadsheets" in Cloudwork's Google Apps administrator account. This folder can optionally be shared with all teachers in the domain. 
Once the process has completed, teachers will be able to make a copy of the master sheet to install the appropriate Apps script and configure assignments. Teachers will then be able to make any changes they require, such as adding in group flags for group assignments. 
As changes to the members of the class are made in the school's management system, the process will automatically (probably nightly) update the master roster spreadsheet accordingly.
This processing is designed to support Apps Scripts such as Doctopus and gClassFolders.
Initially, the spreadsheet will be a new spreadsheet, however we are looking into cloning a spreadsheet with the the appropriate apps script pre-installed as a future enhancement.

1. What is Cloudwork?
Cloudwork is a cloud based identity management service tailored for the needs of schools.

2. Why do schools need an identity management service?
Because of their large extended communities including teachers, students and parents, schools have a disproportionally large number of accounts present in their networks.
In addition these users need to access a large and varied range of services. Increasingly these services are located in the cloud.
All of this adds up to a large and expensive maintenance load on the school's network administrators.

3. What is Identity Management?
Identity Management includes the following features:
- Single account maintenance - one place to maintain all account details especially the password
- Single sign on - any sign on to a service establishes an authenticated session accepted by another compatible service used during that session
- Bulk maintenance of accounts

4. Is Identity Management just a userid and password?
No. As well as authentication information schools must also maintain numerous and complex relationships. These include teachers relationships with the students in their classes and the complex relationships of parents with their children. 
Cloudwork honors relationship information maintained in the school's management system and ensures appropriate information is available to cloud based services.

5. What services works with Cloudwork?
Any service that supports the open standard: SAML. Many popular services support SAML such as Google Apps, Edu-blogs, and Dropbox, plus many products such as Moodle, Wordpress, Joomla and Drupal are all supported as they are compatible with SAML.

6. What does Cloudwork actually do?
Cloudwork acts as a bridge between the data stored in your school's management system and then outside world in the cloud. This means that the data stored in your scholl can be used by cloud services to offer more capable and rich cloud services. 
By using Cloudwork services in the cloud can do things that they otherwise could not achieve.
For instance by knowing who teaches which class and who constitute the students of that class it is then possible for Google Apps to send an assignment just to the members of that class.
In addition Cloudwork enhances your presence in the cloud by making it easier and more convenient to use disparate cloud services as if they are all integrated together. To do this Cloudwork provides an identity provider service that means you only need to sign in once to a cloud service and then the other compatible services will automatically recognize and honor that existing sign on.

Introducing Cloudwork™



Cloudwork™ is Studentnet's® successor to schoolwork and homework. 

Earlier this year Studentnet® implemented a significant advance in easing the administrative burden required for school teachers and students to collaborate in the cloud, especially via Google Apps™. The Automated Class Groups (ACG) feature transfers the class relationship data locked up in your internal administration systems up to the cloud for widespread use. Not only does ACG perform a one-time transfer, it fully automates the maintenance of your class relationship data updating your class groups on a nightly basis for a full hands free experience. Now, Studentnet is building on that initial step with our cloud-based assignment preparation and submission feature - we call it Cloudwork™!
